Who we are

This policy explains how PROPER WOOD LTD handles personal information when you visit properwoodltd.cc, send us an enquiry or deal with us as a trade customer or supplier. We are the data controller for that information under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

What we collect

We only collect what we need to price and supply building materials to businesses:

  • Contact details you give us: your name, company name, email address and, if you choose, a phone number.
  • Enquiry details: the materials, sizes and quantities you ask about, site postcodes, delivery requirements and any documents you send, such as cut lists or schedules.
  • Order and account records if you become a customer: quotes, confirmations, delivery and collection arrangements, invoices and related correspondence.
  • Basic technical data your browser sends when you load the site, such as IP address and browser type, which our hosting provider may log for security.

Why we use it and our lawful basis

  • To answer your enquiry and prepare a quote. Lawful basis: steps taken at your request before entering into a contract, and our legitimate interest in responding to trade enquiries.
  • To supply goods and arrange delivery or collection. Lawful basis: performance of a contract.
  • To keep accounting and tax records. Lawful basis: legal obligation.
  • To keep the website secure and working. Lawful basis: legitimate interests.

We do not sell personal information and we do not use it for automated decision-making.

Who we share it with

We share information only where needed to do the job: with hauliers or couriers delivering an order, with manufacturers or suppliers where a product has to be ordered in for you, with our IT, email and hosting providers, and with our accountants and professional advisers. We may also disclose information where the law requires it.

How long we keep it

Enquiries that do not lead to an order are kept for up to 24 months so we can refer back to them if you get in touch again. Order, invoice and accounting records are kept for as long as UK company and tax law requires, normally six years from the end of the financial year they relate to.

Cookies

This website does not use advertising or analytics cookies. Fonts are loaded from Google Fonts, which means your browser connects to Google servers to fetch them and Google receives your IP address as part of that request.

International transfers

Some of our service providers may process data outside the UK. Where they do, we rely on the safeguards recognised under UK data protection law, such as adequacy regulations or the International Data Transfer Agreement.

Your rights

You have the right to ask for a copy of your personal information, to have it corrected or erased, to restrict or object to how we use it, and to data portability where that applies. To make a request, email Williams@properwoodltd.cc. We will respond within one month.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk. We would appreciate the chance to put things right first.
